Ordering Information

Purchase Orders
All orders must be submitted in writing, either through email or fax. Verbal or handwritten communications will not be accepted. Please call to confirm receipt of Purchase Orders.

All information must be complete before production time can start. Production time does not begin until paper proof is approved.

KTI will hold a Purchase Order for up to two weeks for any delays in processing. After two weeks, the unprocessed PO becomes inactive. Customer must issue a new/revised PO to activate the previous delayed order. KTI will not keep the same cost as agreed on the original Purchase Order.

Change Orders
Changes to an order must be submitted within 48 hours of the original PO date. Changes must be confirmed with your account representative before being submitted. All changes must be submitted in writing. Please call to verify that changes have been made.

Cancellation Policy
Cancelled orders will be charged according to the costs incurred at the date of cancellation including, but not limited to, art, screen, shipping and merchandise. In addition, a 25% restocking fee will be added. Completed orders are not subject to cancellation. All cancellations must be confirmed in writing, through email or fax.

Minimum Quantity
Minimum Order Quantities are listed on each individual product page. Minimums may be higher for custom products and/or colors. Orders for less than the stated minimum may be possible with a less than minimum charge. No orders will be accepted for less than 50% of the listed MOQ.

Production Time
Items in stock without a custom imprint are shipped within 48 hours; larger orders or non-stock items may require additional time. On orders with a custom imprint, digital proofs are sent to customer within 24 hours. Please refer to the individual product pages for standard production times on stock items.

Over-Run and Under-Run policy
Every effort will be made to ensure our customers receive the exact number of items they ordered. We will not deliver/invoice an over-run, but a 3% under-run is possible and orders will be shipped and billed accordingly.

Rush Orders
Rush orders are available on most products for an additional charge. Please call and discuss production times with your account representative before placing an order with rush service. Confirmed rush orders are not subject to cancellation. * Please Login For Rush Service Pricing.

Pricing
Pricing is available by logging into the website or by calling your account representative. Pricing is subject to change without notice.

Each order placed will be based on current market value of memory; as quoted at the time of your order. If memory pricing should increase after your order is received, acknowledged, and approved, you will not be charged the increase. Your accepted PO price will not be affected. If pricing should decrease, your cost will not decrease since it was accepted at current market value of memory; as quoted at the time of your order. We can not offer price protection on memory products.

Sample Policy
Random and/or blank samples of most items are available to be shipped using the distributor’s shipping account number and are billed at end quantity prices.

Paper Proof
A paper proof is a digital representation of the finished product and not exact. It confirms the logo position, location, and PMS color codes. Because screen resolutions vary, the image may look distorted when sent electronically. If paper proof is faxed, the product and logo may appear distorted or jagged. Production time begins the day after the paper proof approval and all other requested documentation is received. If changes need to be made, notate these on the form, check the appropriate box, and fax it back to us. A second paper proof will be sent once the artwork has been changed. Please note that changing the order or postponing artwork approval may result in delivery/shipping delays or additional rush/imprinting fees to meet unchangeable deadlines. Please note that delays in approving the artwork may result in delays in the delivery/shipping date.

Catalogs & Flyers
Sales Catalogs and Special Flyers are provided at no charge and may be downloaded online at anytime. Please call or email our sales representatives to request physical catalogs to be sent to your address at no charge.

Data Loading
Data loading procedures need be in writing by the customer. We do not accept .ZIP files for data loading. If the file is too large to transmit by e-mail, you can upload it directly to our ftp server or mail us the data on a CD or USB drive. KTI Promo is not responsible for the return of the CD or USB drive. All orders requiring a data load must have a data loading procedure form filled out. Without these instructions we cannot proceed with the data loading job.

If the data is designed utilizing logos, trademark or registered information other than that of the owner(s), written authorization and/or a form of release may need to supplement the data download order. If copyrighted material such as, but not limited to, music, video or literature is included, written authorization and/or a form of release may be required clearly indicating KTI is and will be released from any and all copyright infringement or violation.

Data loading is subject to extra lead time.

Orders that have been printed and are waiting in-house for the data to load will only remain in-house for 2 weeks. If data is not received within 2 weeks of printing, KTI reserves the right to ship the order without data to the destination provided on the purchase order.

Imprint & Art

Acceptable Artwork Formats
Vector art is artwork created using points, lines, curves, and polygons based on mathematical equations. Acceptable files include .eps (encapsulated Postscript), .ai (Adobe Illustrator), and .cdr (Corel Draw). All artwork should be color separated and scaled to size, and font must be in curves/outlines. Precise details as to PMS color numbers, crop marks, and placement should be noted on the Purchase order and the art file.

KTI Promo reserves the right to determine if artwork submitted can be used.

Artworks we DO NOT accept
Artwork that will not be accepted includes camera-ready art, raster art, hand sketches, imprinted merchandise, stationary, or business cards. Unacceptable files include .jpg, .gif, .bmp, .psd, .tif, etc.

KTI Promo may be able to vectorize art, or perform typesetting & other necessary alterations for a fee. Please consult your KTI Promo account representative for more information on these alterations & charges. KTI is not responsible for art/typesetting errors after proof approval.

Pantone Solid-Coated Colors
PMS color numbers must be submitted with all artwork. A PMS color book is recommended when choosing colors, as colors may vary due to computer screens and/or printers. All colors must be set to 100% opacity and fill. Different shades of the same color are printed as separate colors and will incur additional color charges.

PMS matching is a manual process, therefore all color matches are a close approximation. Final imprint may be slightly different and may vary among individual pieces. Roughly half of Pantone’s swatch library can not be matched 100%, especially colors such as bright greens/blues and heavily saturated colors (i.e. Reflex Blue).

Copyright/Trademark Laws
KTI Promo assumes that logo artwork is submitted in full compliance with all applicable laws governing copyright and trademarks. Purchaser, by placing the order, agrees to indemnify, defend and hold KTI Promo harmless from and against all claims, liabilities, and expenses (including attorney’s fees) arising out of or related to an actual or alleged infringement or misappropriation of any trademark, copyright or any other proprietary right of such merchandise. This provision remains in effect after the delivery of an order.

Billing Terms
First-time orders must be charged on a credit card. We accept Visa, MasterCard, Discover and American Express. Billing terms may be extended after a credit check is completed.

Domestic Shipments
All packages are insured and shipped UPS Ground unless otherwise stated. Requests for shipping with USPS will incur a service charge (see Fees Menu).

International Shipments
1. An International Shipment Form is required for each shipment with an origin and/or destination outside the USA. Each international shipment is subject to a handling charge of $31.25 (v).

2. All required International Shipment Forms must be completed in full with accurate information before the order can enter production. This includes the Ship To Information, the Shipping Charges, & the Duties, Brokerage, Taxes, & Customs Fees sections. The client is liable for any delays or charges incurred from the failure to provide KTI Promo with complete and accurate information.

3. Orders with international shipments may not be rush orders without prior approval from a KTI Promo representative.

4. Hotel locations will only be accepted as international shipment destinations with a signed waiver of responsibility.

5. KTI Promo honors agreed upon ship dates & methods. KTI Promo is not liable for any delays in the delivery date due to natural disasters or other unforeseeable conditions.

6. KTI Promo will attempt to meet any pre agreed upon special shipping requests, e.g., using the recipient’s or a third party’s shipping account number, or dividing charges associated with international shipping between multiple accounts. Please note that special shipping requests may not be able to be honored in all nations. KTI Promo is not liable if a special shipping request can not be implemented due to the laws & regulations of other countries.

7. If Customs requires a recipient’s importer ID or a brand authorization letter, KTI Promo will require that information at that time. The information must be provided immediately. The client is liable for any shipping delays caused by a delay in the providing of the information.

8. Modifications to the shipping instructions within 48 hours prior are not guaranteed. The client is liable for any delay of the ship date and/or added charges due to the modifications.

9. The client is liable for any incurred added charges which have not been previously agreed upon. This includes, but is not limited to special shipping requests, shipping modifications or undeliverable shipments.

Residential Shipping
All shipments are designated commercial deliveries by default. Please inform your salesperson in advance if you require a residential delivery. Failure to do so may cause delays in delivery and additional shipping charges. KTI Promo does not ship to any international residential locations or hotels.

Shipping Changes
Any changes in shipping information must be submitted PRIOR to 2 business days of the original ship date defined on the PO. KTI can not guarantee, and will not be responsible for, any last-minute changes made WITHIN 2 business days of the original ship date.

Shipment Tracking
Tracking information is available the day after an order ships on ktipromo.com via the package tracking tab.

Split Shipments
KTI Promo is able to process different ship-to addresses for each order. Each subsequent address after the third is subject to a handling charge. Please log in for Split Shipment pricing.
KTI cannot be held responsible for delays on the part of the shipping carrier.

Limitation of Liabilities
KTI is not responsible for delays or nondelivery of orders due to factors beyond our control including, but not limited to, acts of God, carrier delays, severe weather, terrorism, or other unforeseen circumstances. Orders affected by the aforementioned situations are not covered under KTI’s warranty, claims, and return policies. Our top priority is the safety and well-being of our employees and contractors, as well as providing the highest level of service to our customers. In the event of uncertainty, shipments will be secured in one of our facilities. Delivery of product will be attempted when it is safe to do so.

 
Warranty & Claims

Claims procedure
If you have a claim which is incorrect with your shipment, you must contact us within 3 business days of delivery of the product.

Return Policy
If there is a defect in the imprinting, product quality or data load, please call our RMA Department to arrange for a return. All returns must be pre-approved and assigned an RMA number before shipping back to KTI. Consumable parts (i.e. batteries, pen refills, etc.) will not be considered for RMA claims.

No returns will be accepted for custom orders. Returns for blank products may be accepted (subject to a 25% restocking fee) if returned within 30 days in new condition.

Product Warranty
All of our products are guaranteed against defects for 1 year. Consumable parts, including but not limited to, batteries & pen refills, are not covered under warranty.

Glossary

AutoRun
AutoRun causes a certain file to open or a certain program/file to run automatically as soon as a Pen Drive is inserted into the USB port. The action taken is determined by a file called AUTORUN.INF. If the file to be opened is a music or multimedia file, the feature is called AutoPlay.

In Macintosh computers, AutoRun is called AutoStart.

Bluetooth
Bluetooth technology enables wireless communication among various electronic devices when in close proximity to one another. Examples of devices which utilize Bluetooth technology include cell phones, PDAs, wireless headsets, video game controllers, etc

CAT5
Short for category 5, this is cabling that consists of four twisted pairs of copper wire terminated by connectors. CAT5 cabling supports speeds up to 1000Mbps. The cable is rubber-coated which protects the wire from damage or bending. CAT5 is commonly used for home and office networking.

Crossover Cable
A cable designed for connecting two computers directly.

Digital Media Storage Device
This is an electronic unit which stores information for use in computing. Such devices are also known as memory cards or flash cards. Types include CF, MC, SD, MMC, MS, MS PRO, SM, XD, MS DUO, MS PRO DUO, Mini SD, RS-MMC, T-Flash Cards, etc.

Embossing/Debossing
Embossing is a process in which a raised surface design is created on a product. Embossing involves pressing the product between two surfaces to create the design, where as debossing presses from the front side only. Debossing creates a pressed in look, while embossing appears raised.

Ethernet
A networking technology used for high-speed connections, mostly local area networks.

Flash Disk/Drive/Memory
A portable device containing a computer chip that store files. Flash disks vary in the amount of memory they contain. Popular configurations include 16MB, 32MB, 64MB, 128MB, etc. The flash disk replaces older file storage media such as the floppy and CD-ROM due to its convenience and portability. A 16MB flash disk is equivalent to 14 floppy disks.

Foil Stamping
A process which enables a metallic design to be pressed into the product, similar to debossing.

Hub
A device which connects several other devices together, allowing the devices to communicate with one another. When a USB hub is plugged into the USB port on your computer, you gain extra USB ports. A networking hub connects many workstations to the same network.

Laser Engraving
A process in which an image is “etched” into the surface of a product. Laser engraving is intricately controlled by a computer to achieve proper positioning, depth, and detail of an image. Laser engraving, oxidation and black oxidation are available on select products. Please consult your sales representative for details concerning these types of laser engraving.

MP3
A digitally compressed music file that can be played on computers and other portable music devices. The MP3 format offers a good balance between music quality and file size. MP3 files are small enough to easily transfer across the Internet.

Megabyte (MB)
A unit of measurement for computer storage (1 MB ~ 1024 KB). The number of megabytes determines how much information a device can hold.

Pad Printing
A method in which a pad, ink, and plate are used in conjunction to transfer an imprint onto a product. The pad, usually silicone rubber, presses against the plate which is etched with the design. After touching the ink-filled plate, the pad then presses the target, transferring the desired design.

PS2
An older standard for connecting input devices (keyboard, mouse, etc.) to computers. In modern computer systems, the PS2 interface has been replaced by USB connections.

Plug and Play
This describes the standard ability to add and remove devices while the computer is running, with automatic recognition from the operating system.

Raster Artwork
Raster artwork consists of pixel information, where every pixel is assigned an RGB or CYMK value. This can create smoother and more detailed images for photos and paintings, but if the image is scaled, the program must create new information resulting in a distorted look. Raster-friendly programs include Adobe Photoshop, MS Paint, Fireworks, etc. remove devices while the computer is running, with automatic recognition from the operating system.

Ready-Boost
A technology supported by Microsoft Windows Vista, which enhances the speed and ease of disk caching. This has the capability to boost system performance.

Screen Printing
Screen printing is a stenciling technique that, unlike pad printing, uses screens with the positive image for the creation of the image on the product. Screen printing requires that separate plates be created for every color or imprint.

SIM Card
Short for subscriber identity module, it is the smart card (small electronic device containing memory) inside a GSM (Global System for Mobile Communication) that encrypts voice and data transmissions and stores data about the specific user that can be identified. A SIM card can be transferred from one cell phone to another, and different SIM cards can be used with the same cell phone.

USB (Universal Serial Bus)
An interface for communications between computers and external hardware. USB is intended to replace existing serial ports, keyboard, and monitor connectors. USB 1.1 has file transmission capabilities of 12Mbps while the newer 2.0 can transfer files up to 480Mbps.

Vector Artwork
Vector art consists of creating paths and points in a program such as Adobe Illustrator, Freehand, Corel Draw, and various other illustration programs. The program keeps track of the relationships between these points and paths. Vector drawings are any scaleable objects that keep their proportions and quality when sized up or down. They are defined as solid objects and can be moved around in full, or group together with other objects. Vectors can be defined by mathematical and numeric data.

WiFi (Wireless Fidelity)
A standard for wireless networks, it enables a person with a wireless-enabled computer to connect to the Internet when in proximity of an access point or “hot spot”.
